CEDIA EXPO 2008 Exhibitor Housing Information

We are delighted you are exhibiting at EXPO 2008 in Denver, September 4-7. As in 2007, overnight rooms, suites and meeting space will be assigned in order of your exhibitor priority points. Exhibitors have the opportunity to reserve up to 5% over the number of overnight rooms used in 2007. Exhibitors using CEDIA EXPO Housing for the first time may reserve up to 10 overnight rooms.

An email will be sent to the contact person two weeks prior and also the day before to confirm the date you may book rooms for Denver or you may visit CEDIA EXPO Housing to confirm the date.

Please Note: Making reservations is a three step process. If all three steps are not completed by your assignment date listed on the welcome page, all rooms will be automatically released.

Critical Housing Information
Changes of any kind or a cancellation of a reservation will be assessed the cancellation/change/name substitution fee, which will be charged to the credit card on file. “No Show” fees will be charged following EXPO, if applicable. You are permitted to make changes, name substitutions, and cancellations in writing for your reservations until August 25, 2008, by going online at www.cedia.org/expo or by fax to 317-578-0621. The following fees apply.

When a change or cancellation is made there are a number of administrative tasks that follow in order to assure the request is handled properly.  Most importantly, is the verification of the hotels list of reservations.  The list is manually reviewed for accuracy and corrected with the hotel. This process must be repeated each time a reservation is changed or cancelled. Hotel systems are not flexible enough to confirm only changed and cancelled reservations, making this a very time consuming process. While hotels have been instructed not to take cancellations/changes some do, which puts you at risk of having your reservation changed back to match what we have in our system. Since you have elected to use the housing system, we have an obligation to you to make sure your reservation matches our system. Therefore, fees are applicable regardless if you call the hotel directly, make them online or call us.

Additional hotel penalties may apply for cancellations 72 hours prior to your arrival date, early departures, and "No Shows." Verification of these charges directly with the hotel is recommended.
