How can I find out about booth availability?

Click here to view floor plans. The Colorado Convention Center is three floors – Exhibit Level, Street Level, and Ballroom Level.  Click on a level to view a detailed floor plan.  All available booths are highlighted in yellow.


What sizes are the available booths?

All available booths are shown as a 10x10.  Most 10x10 booths may be combined to form a 10x20 booth space.  200 square feet is the maximum booth size for new exhibitors.


How large of a space may I reserve if I am a new exhibitor?

Due to the tremendous growth of CEDIA EXPO and the exhibit space constraints at the Denver Convention Center, new exhibitors are allowed a maximum of 200 square feet of exhibit space.  Exhibitors may request to be added to the Better Space Waiting List for larger space or a better location.


What if I want a larger space than what is available?

You will need to submit your request to be added to the Better Space Waiting List to Jennifer Roth at jroth@cedia.org.  However, you must already have a booth space reserved.  When cancellations/booth movement occurs, exhibitors on this waiting list will be contacted in order of priority points and according to size/location preferences.  If an exhibitor declines a space offer, it will be offered to the exhibitor next on the list.


What do I need to do to reserve exhibit space?

Fax the completed Space Application Form to Lauren Cooper at 317-735-4012.


What happens if my booth selections are not available?

Lauren Cooper, Tradeshow Assistant, will contact you will alternative choices.

What is included in the cost of the booth space?

  • Black pipe and drape (except island booths)
  • Company listing in Show Directory: print*, online, PDA beaming station 
    *Exhibitors will only be in printed version if an exhibit space is reserved prior to June 15, 2007.  If your exhibit space reservation is confirmed after June 15, 2007, your listing will only be in online version available after September 9, 2007.
  • Four (4) free exhibitor badges per 100 square feet of exhibit space.
  • Four (4) free setup badges per 100 square feet of exhibit space.
  • 25 free guest passes (available after May 1, 2007)
  • Access to pre-show and post-show attendee mailing list.
  • Discounted hotel room blocks

Booth Cleaning   $128 for 10x10 for four days
Carpeting All exhibitors in the Main Hall on the Exhibit Level must have some form of floor covering.  Exhibit areas on the Street Level and Ballroom Level are already carpeted and no additional carpet needs to be ordered, unless you prefer a different color or need padding.  Exhibitors that do not bring their own flooring typically rent from Champion Exposition Services.  Please refer to the Exhibitor Manual to order.  $141 9'x10' standard carpet
Electricity Show Management does not provide electricity.  Please refer to the Exhibitor Manual to order.  $88 for 5 amp (500 watts)
Exhibitor Appointed Contractor (EAC) EACs are contracted by the exhibitor to setup or teardown an exhibit space.  Third party contractors must provide a certificate of insurance to CEDIA and Champion Exposition Services.  $150 will be added to Champion Exposition Service's final invoice to exhibitor.
Lead Retrieval It is recommended that all exhibitors rent a Lead Retrieval unit to collect and store sales leads.  Please refer to Exhibitor Manual. $315 - Paper and Disk                 $260 - Paper Only
Material Handling If you ship a booth to the warehouse or directly to the Center, you will be responsible for the Material Handling fees associated with the movement of your freight within the hall.  The final cost is based on the weight of your freight.  Please refer to the Exhibitor Manual to complete required forms. $50 and up per hundred pounds cwt.  (200 lb. minimum charge per shipment)
Pipe & Drape Black pipe and drape is provided to all exhibitors with at least one back wall (excludes island booths).  The backdrape is 8' high and the siderail is 3' high. Included with your space, if not an island booth

** Custom Exhibit Rental Units are available through Champion Exposition Services, starting at $1404.00 for a 10x10 space.  Please refer to the Exhibitor Manual for more information.

 

When is my balance due?

25% deposit is due upon receipt of invoice, but no later than January 22, 2007

50% is due by April 9, 2007

25% is due by July 27, 2007

How many free exhibitor badges will I receive?

Each exhibitor is given four (4) free exhibitor badges and four (4) free setup badges per 100 square feet.  Exhibitor badges are good during setup, show hours and teardown.  Setup badges are good during setup and teardown only.

 

What if I need more than the free number of badges?

Exhibitors may purchase additional badges online via the Exhibitor Registration area.  Each badge (exhibitor or setup) is $10.

How do I get listed in the official Show Directory?

Every exhibitor as of June 15, 2007 will be included in the printed version of the Show Directory.  Exhibitors are encouraged to update the information to be printed in the Directory online until June 15, 2007.  If an exhibitor does not update the listing, only the company name and contact information as it appears on your contract will be listed in the Directory, not under any product categories.

 

What do I do with my registration code?

To log in to password protected exhibitor information, exhibitors will need the registration code.  This registration code, along with the booth number, will allow access to the Show Directory Listing System, CEDIA EXPO Housing and Online Exhibitor Registration.

 

Are badges mailed?

No.  Badges (exhibitor or setup) are not mailed prior to EXPO.  All badges must be picked up in Exhibitor Registration beginning Monday, September 3.

 

When will I receive my Exhibitor Manual?

The exhibitor manual will be sent from Champion Exposition Services in late April 2007.  The manual is sent only the main contact for each exhibiting company.  Using a log in code, other employees or contractors may access the online manual in early May.

If I want a pre-show mailing list, how do I get this?

The EXPO 2007 pre-show and post-show mailing lists are available between July 1, 2007 and October 31, 2007.  These lists are available only to EXPO 2007 exhibitors and at no charge.  These lists include all pre-registered attendees who have opted in to receiving exhibitor emails, mailings.   Full contact information (i.e. address, phone, fax, email, registration type) is included.  The pre-show list is updated weekly prior to the show and available in Excel format.  Please contact Jennifer Roth at jroth@cedia.org to receive your mailing list. 

Prior to receiving the lists, exhibitors who request either the pre-show or post-show mailing list must sign a waiver.  This waiver states the opt-in mailing lists may only be used for pre-show and post-show marketing efforts, specific to CEDIA EXPO 2007.    The list may not be used for any marketing materials after October 31, nor may be used at any time for marketing efforts not related to CEDIA EXPO 2007.
