Booth Selection

May 2, 2011- July 25, 2011

 

CEDIA EXPO 2012 will again be held at the Indiana Convention Center (ICC) in Indianapolis, IN, September 5-8 (tradeshow dates: September 6-8).  Exhibit space selection for EXPO 2012 will begin Monday, May 2, 2011.

We understand your time at EXPO is very valuable.  To better serve you, we have scheduled pre-show webinar dates and times for ALL exhibitors to select their EXPO 2012 booth space.  Depending on the week your company is scheduled to select, roughly 8-28 exhibitors will select on Monday, Wednesday, and Friday between 1 p.m.- 3 p.m EST.

Current EXPO 2011 exhibitors will make a booth selection in order of the priority points accumulated as of March 4, 2011. Click here to view your company specifc priority point breakdown.   If an exhibitor’s priority points change after March 4, 2011, the scheduled booth selection time for the exhibitor may or may not change, depending on the date.

Last year we restricted all exhibitors to select the same size booth for EXPO 2011 as what they were exhibiting in for EXPO 2010.  There will be NO booth space size restriction for EXPO 2012.   All exhibitors will have the opportunity to reserve any size booth space desired at the time of their selection.  However, please be reasonable and mindful of other exhibitors when selecting a larger space then what you are exhibiting in for EXPO 2011. We will still have a waiting list for any company looking for a better booth location to become available in the coming months.

During the webinar, the current floor plan will be displayed on the screen and a selection can be made based on availability at that time.  Remember booths can be merged and re-sized while avoiding 20ft aisles.

**Please note booths in Halls A, B, D, and E will not have access to the show floor for move-in and setup until 6 p.m. Friday, August 31.  Some sound rooms will also be affected with the earliest move-in date being Monday, September 3.  If an exhibitor cannot reasonably setup the exhibit based on the later move-in dates, selection in an alternate hall will be required.

ALL exhibitors MUST be current with their EXPO 2011 booth payments to be eligible to reserve a space for EXPO 2012.  At least 75% of your total invoice or an active payment plan MUST be received by CEDIA.  If this criterion is not met by your selection date and time, you will not be eligible to select during your scheduled booth selection time.  If you have questions about your payment status, please contact Ashley Sorenson at asorenson@cedia.org or 800-669-5329 ext. 129.

One month prior to your selection date, all exhibitors will receive a 2012 booth selection packet via UPS which will include the following:

  • EXPO 2012 Prospectus
  • EXPO 2012 Booth Selection date/time
  • EXPO 2012 Space Application Form

  • GoToWebinar link, access code, and dial-in number to access your webinar

If an exhibitor is unable to attend their scheduled webinar to make a selection, the exhibitor must email or fax the completed Space Application Form to 317-735-4012 with the top 5 space preferences listed at least 24 hours prior to the scheduled selection.  The Tradeshow Department will select the best available booth space, based on the space preferences and availability.  Should an exhibitor miss the scheduled selection webinar, please contact Ashley Sorenson or Jennifer Roth immediately at 800-669-5329.

 

 

Guidelines to help you prepare for your booth selection webinar:

  • Review your 2012 booth selection packet one month prior to your scheduled webinar.

  • Add the scheduled selection webinar date and time to a calendar immediately. If unable to attend the webinar, please fax in your signed Space Application Form with your top 5 space preferences at least 24 hrs prior to your scheduled webinar.

  • All webinar times will be on Eastern Standard Time

  • Confirm your first two payments, 75% of your invoice for CEDIA EXPO 2011, or payment plan has been received by CEDIA.

  • Send in your EXPO 2012 Space Application Form before your selection time. We must have a signed application in hand 24 hours prior to your selection. If the signed application has not been received, a booth space will not be reserved during the scheduled time.  Click here to access the Space Application Form set up to type information directly onto the form to either email or fax to 317-735-4012.

  • Review the 2012 floor plan to view current availability.  This online floor plan will be updated at the end of each day selection occurs

  • Use Internet Explorer when joining the webinar. If using Firefox as the default browser, access to the webinar may be denied. 

  • If audio is not working once logged into the webinar, re-dial the audio pin as shown in the upper right corner of the screen.  If it still is not working, hang up and re-dial.

  • All phones will automatically be set to mute once you dial in.  When your company name is called in order of priority points, your phone will be un-muted and you will be able to make your selection.  Depending on the number of exhibitors in your selection group, there will be a time limit to make your selection.

  • During the webinar you will see the current floor plan on your screen and can select a booth space from what is available at that time.  State the booth number and size you want to reserve.  Remember, booth spaces can be merged and re-sized while avoiding 20ft aisles.  The floor plan will be updated immediately with your selection.

  • Sign-off the webinar once your selection is complete by hanging up your phone and exiting out of the GTW screen.

  • Once the webinar is complete, you will receive a confirmation email listing your booth number and booth size reserved along with a copy of the floor plan with your booth highlighted.  Reply to this email immediately to confirm the selection.

NEW Payment Schedule!  Previously your initial booth space deposit was due in January, 9 months prior to EXPO.  However, our payment schedule for CEDIA EXPO 2012 and all future shows has changed!  The initial 25% deposit (non-refundable and non-transferable) will be due November 30, 2011.  The following is the remainder of the new payment schedule:

  • Second Payment:  50% of total invoice- due February 8, 2012

  • Third Payment:  final 25% of total invoice- due May 23, 2012

Once booth selection is complete for all current exhibitors, any remaining available space will be available to companies who are not exhibiting at CEDIA EXPO 2011.  Booth selection will be available during CEDIA EXPO 2011 at the Indiana Convention Center outside Meeting Rooms 109 /110 in the Crossroads Hallway during these dates/times:

Wednesday, September 7 12:00 p.m. – 4:00 p.m.
Thursday, September 8 8:00 a.m. – 4:00 p.m.
Friday, September 9 8:00 a.m. – 4:00 p.m
